When a retailer needs to understand a refund or disputed sale, the transaction record and the camera recording often sit in separate systems. What does POS integration actually do?
The POS system remains the source of the transaction record. A compatible video management system uses available event fields, such as a till identifier, timestamp or transaction reference, to find associated video. It does not replace the accounting record or automatically determine whether an employee or customer acted improperly. Its value is in making the relevant context easier to locate.
Choose the business question first
Start with one recurring question: a customer disputes a handover, a supervisor needs to check a refund, or a store wants to review a void procedure. Specify which record starts the investigation, which camera shows the activity and who can access the result. A narrowly defined workflow is easier to test than a requirement to connect every transaction to every camera.
What needs to be checked before integration?
Ask the supplier to confirm:
- The exact POS product, software version and available interface.
- Which transaction fields the interface supplies.
- Whether licences or work by the POS supplier are required.
- Camera coverage of the relevant checkout activity.
- Time synchronisation between systems.
- Who may search, view and export the associated records.
A till camera may show a handover clearly without capturing enough detail to identify every item. Test the actual view rather than assuming resolution alone is sufficient.
A practical refund-review example
An authorised manager searches for a refund reference. Where that field is supported, the VMS opens footage for the matched till and time. The manager checks the surrounding sequence, compares it with the transaction record and follows the store’s review procedure. A missing video segment or unclear view should be recorded as a limitation, not filled in with an assumption.
How do you measure whether it helps?
Before a pilot, record how long a typical transaction review takes and how often the team cannot locate useful footage. Compare the same measures after the workflow is introduced. Include both successful and unsuccessful searches. Faster retrieval can be useful even when the outcome is that a transaction was handled correctly.
