This notice explains how AI MONITOR handles information through ai-monitor.co.za. It applies to website enquiries, subscriptions, analytics and chat, rather than processing at client surveillance sites.

Information we collect and why
- Enquiries: your name, email, optional telephone number, selected service and message help us respond and prepare requested proposals.
- Provider reviews: the form also asks for your company and service concerns, with optional provider, site, camera, spend, expiry and additional details to assess your requirements.
- Newsletter: your email and subscription record allow us to send the updates you request. Subscription is separate from making an enquiry.
- Website operation: hosting and security services may process technical request information, including IP addresses and browser details, to deliver and protect the website.
- Analytics: with your acceptance, Google Analytics measures page visits and selected interactions, including enquiry-link clicks and successful submissions.
- Chat: Chatmarshal processes messages and information you supply through the chat service, together with technical data described in its privacy policy.
Required fields are marked. Without the necessary enquiry and contact details we may be unable to respond. Do not submit passwords, access codes, private CCTV footage, biometric samples or sensitive security plans through public forms or chat.
Your choices
We use information supplied with your enquiry to respond and take the steps you request towards a proposal. The enquiry checkbox does not subscribe you to marketing. Newsletter subscription and optional analytics rely on your separate choices. Technical processing supports website operation and protection; information may also be retained where a legal obligation requires it.
You can withdraw newsletter consent by emailing info@ai-monitor.co.za with “Unsubscribe”. Withdrawal stops future use based on that consent; it does not retrospectively invalidate earlier lawful processing.
Analytics and browser storage
Google Analytics is not loaded until you accept analytics. Use Analytics settings to accept, reject or withdraw. Rejecting analytics does not prevent enquiries. Advertising personalisation and Google signals are disabled.
Your choice is saved in browser local storage for 180 days. If storage is blocked, you may be asked again on another page. The tag is configured with a 180-day analytics cookie expiry, which browsers may shorten. Cookie expiry is separate from retention of information already held by Google.
Withdrawal disables further collection by this website’s analytics tag and clears accessible Google Analytics cookies. It does not automatically erase data already received by Google. Read how Google uses information from partner sites. These controls apply to analytics; they do not control the separate chat service.
Service providers and sharing
Enquiries are stored as private WordPress records and emailed to our enquiry inbox. Hostinger provides website hosting, domain.co.za provides email, Google provides analytics and Chatmarshal provides chat. Relevant personnel and providers process information to deliver these services. Information may also be disclosed when a lawful obligation or properly assessed legal request requires it.
Chatmarshal’s privacy policy describes supplied, contact and technical information and refers to LiveChat. We are obtaining confirmation of the arrangements specific to our widget, including transcript retention, processing locations and AI-training use. We do not represent that chat is confined to South Africa or that it excludes model-training use. You can use our email or enquiry form instead of chat.
Providers may process information outside South Africa. Account-specific locations, retention settings and transfer arrangements are under review. This notice does not certify that those arrangements have been verified. Contact our privacy contact for the current information relevant to your request.
Retention
Our team reviews closed website enquiries and unsuccessful proposals monthly. Their website records and corresponding enquiry emails are deleted 12 months after the last meaningful contact, unless an active matter or documented legal obligation requires retention. This is a manual review process.
Records for accepted client engagements follow the separate client record process. Newsletter details are kept while subscribed; after withdrawal we retain only the minimum suppression and supporting records needed to respect that choice and justified recordkeeping needs. Provider logs, backups, analytics records and chat transcripts have separate retention arrangements; their account-specific expiry periods are still being confirmed.
Security and your rights
Enquiry records are held privately in WordPress. No internet service can guarantee absolute security. Report suspected misuse or a privacy concern to info@ai-monitor.co.za.
Subject to POPIA’s requirements and exceptions, you may request confirmation of information held, access, correction or deletion; object to relevant processing; or withdraw consent where processing depends on it. We may request proportionate identity verification. Please do not email identity documents unless we have agreed an appropriate channel.
You can complain to the South African Information Regulator.
Client sites and updates
Website demonstrations are illustrative. This notice does not authorise processing of CCTV footage or biometrics at a client site. Deployment-specific notices, responsibilities and agreements must address that processing separately.
We will update this notice when practices or confirmed provider information change. Changes do not amount to retrospective consent for new uses.
