A visitor arriving at an office park should have a clear route from the entrance to the right host. When reception, tenants and gate staff follow different processes, even a straightforward visit can become a queue of calls and manual checks. A visitor management system should help organise that journey around the people responsible for each decision.

Start with the arrival process, not the device

Before selecting readers or gate equipment, map a normal visit. Who invites the visitor? Who confirms the appointment? What does the entrance team need to check? What happens when the host is unavailable? A delivery driver, contractor and meeting attendee may require different permissions. Treating every arrival in the same way can create unnecessary delays or give people access beyond the area they need.

Record who makes the decision and what information is retained. Measure arrival-to-clearance time and how often staff need to correct a record; these give you a practical baseline for reviewing the process.
